Privacy Policy
Effective September 29, 2026
This policy explains what personal information we collect and what we do with it. It covers iplayapl.com, league membership, the store, organizer and sponsor applications, chat, and email. It replaces the privacy policy dated July 9, 2026 from our previous Shopify-hosted site.
Checkout for the store happens on Shopify's pages under Shopify's own privacy policy; this policy covers the store pages we run and what Shopify sends us about your order. We have tried to describe only what we actually do, in plain English. If anything is unclear, email team@iplayapl.com.

1. Who we are
The American Popdarts League LLC, "the league", "we", "us". Is the governing league for sanctioned Popdarts play, based in the United States. Popdarts® is a registered trademark of PD Games LLC, a separate company under common ownership with the league. We use the mark under license.
We are the company responsible for the personal information described in this policy (the "controller", in the language of some privacy laws).

Insomniac AI LLC (Augusta, Georgia) builds and runs our website and our contact database, we call it "the CRM"; it runs on a service called GoHighLevel. Insomniac AI works on our behalf and under our instructions. See Who we share your information with.
2. What we collect, and where it comes from
Forms you fill out on our site. Our forms run on GoHighLevel and are embedded on iplayapl.com. Depending on the form, we collect:
- Start a League / Find My League and Become an Organizer: name, email, mobile phone, city, state, what you want to do (join, start or host), where you throw, venue or club name, whether you have run events before, how many players you can bring, and any notes.
- Organizer Application: name, email, phone (optional), the ZIP code of the area where you want to build a league, and your answers to our organizer questionnaire (venue type, how often you would play, expected throwers, equipment, budget range, timeline, prior league experience, Scoreholio familiarity).
- Sponsor the League: name, company, work email, phone, website, sponsorship level of interest, budget range, and your message.
- Contact: name, email, phone, and your message.
- Get League News (the newsletter box in our footer): email address only.
- Club Listing (sent by email to approved organizers): club name, club name as it appears on Scoreholio, club logo, venue name and street address, city, state and ZIP, league night and start time, organizer name and email, Facebook group or page link, a one-line description, and whether new players are welcome. We publish everything on the listing except your email. See What is public by design.
Scoreholio membership records. League memberships, tournament registrations and payments happen on Scoreholio (seasons.scoreholio.com), an independent platform with its own account terms and privacy policy. When you create or update a league membership on Scoreholio, Scoreholio sends us your name, email, membership tier and season, member-since date, division, region, most recent event, and mailing address. We do not copy your phone number, gender or card details from Scoreholio. We may receive a record of membership purchases (item, level, amount, status) so we can confirm your tier. We also read league results from Scoreholio to publish rankings and standings. See What is public by design.
Store orders. The store page uses Shopify's Buy Button. Checkout happens on Shopify's own pages, where Shopify collects your name, email, phone, shipping and billing address, and payment details under Shopify's privacy policy. Shopify then sends us the order details so we can keep a record of your purchase and follow up: your name, email, shipping address, what you ordered, the total, order status, shipping status and tracking number, and whether you ticked the marketing box at checkout. We keep the phone number from the order with the order, but we do not use it to contact you. When we moved our store records to the CRM in August 2026, we also imported our existing Shopify customer list (name, email, phone, address, purchase total and your marketing preference) so your history and preferences carried over.
Chat. Our website chat is an automated assistant, the "APL Assistant Chat", run on our CRM provider's AI service. It is not a person. Your messages are stored with your contact record and processed by that service to generate replies. If you ask for a person, or for help finding or starting a league, the assistant asks for your first name, mobile phone, city and state and creates a request for league staff, who follow up by phone or email. League-night clips. Organizers and players can upload video and photos from league nights through our clip-submission page. We collect your name, email, club, league-night date, any notes, and the files themselves. The files are stored in a private Google Drive folder maintained for us by our agency, Insomniac AI, under our instructions (see Who we share your information with). Our records note who submitted what and when.
International organizer and distribution-partner applications. If you apply through our international page, that form has its own privacy notice, which controls what we collect there. We also record when you submitted, the IP address it came from, and the exact consent and acknowledgment text you agreed to. See International applicants.
Information collected automatically. We do not run web analytics (such as Google Analytics) or advertising pixels of our own on iplayapl.com. Some information is still collected automatically by the services that make the site work; Cookies and tracking lists them.
3. How we use your information
To run the league. Publishing rankings, standings, the club directory and events; connecting you with an organizer or league near you; reviewing organizer, club-listing, sponsor and international applications; sanctioning leagues and events; and keeping league records. If you are a member on Scoreholio, we use your membership details to know which season and tier you are in and what you are eligible for.
To fulfill and support orders. Keeping a record of what you bought, when it shipped, and any cancellation or refund, and helping if something goes wrong.
To respond to you. Answering contact messages and chat, and following up on forms you submit. Every form and application gets an acknowledgment email.
To send league emails. Membership, organizer, club-listing and clip emails, and notices about the site. Each one says why you are getting it. See Unsubscribing, email and text choices for the full list and your choices.
To send promotional email. Newsletter and league-update emails, store and product news, membership offers, and, after a store purchase, a short series of emails about related products. To unsubscribe, see Unsubscribing, email and text choices.
To protect the site and comply with the law. Preventing spam and abuse, keeping records we are required to keep, and responding to lawful requests.
Legal bases (EU, UK and similar). We rely on:
- our arrangement with you (memberships, orders, applications);
- our legitimate interest in running a sports league and staying in touch with its members and organizers;
- your consent, where we ask for it (the league-news box on our forms, newsletter sign-ups, international applications);
- our legal obligations.
4. Unsubscribing, email and text choices
- Promotional email. Every email we send has an unsubscribe link in the footer. Using it stops all promotional email, the newsletter, league updates, store and product emails, and membership welcome emails and offers. Within 10 business days. You can also email team@iplayapl.com. Unsubscribing does not cancel your membership or affect league records.
- Service emails. A small set of emails is not promotional and continues while you have a membership, order or open application with us: form and application acknowledgments, order and refund records, organizer onboarding steps you asked for, confirmation when your membership tier changes, and notices about this site. These contain no offers. We send them because you filled out a form, placed an order or hold a membership. If you want none of them, ask us to delete your record. See How long we keep information, and how to have it deleted.
- Store customers. If you decline marketing at Shopify checkout, we record that choice and honor it for our promotional email. If you change your preference later, use the unsubscribe link or email us.
- Replies. Replies to our emails go to our team inbox in the CRM, where league staff read and answer them.
- Text messages. Some of our forms mention texts. We do not send texts today. If we start, we will only text people who have said yes, and you can reply STOP at any time.
5. What is public by design
Some information is published because that is how a league works. Please read this before you join or submit anything.
- Rankings, standings and results. As the sanctioning body, we publish league records drawn from Scoreholio: player name, state, club, region, membership tier, points, event counts, podium finishes, win-loss records and ratings. Event pages name champions. The same data may also be public on Scoreholio's season pages. Publishing results is part of sanctioned play. If you have a concern about how your name appears, contact us and we will work with you and Scoreholio on options.
- Club directory and map. Club listings submitted by organizers are published: club name, logo, venue name and street address, league night and time, description, Facebook group or page link, and the organizer's name. We do not publish the organizer's email or phone. Club and venue information from Scoreholio (club name, venue address and upcoming league night) is also shown on the map and directory. To update a listing, resubmit the form; to remove one, email us.
- League-night clips and photos. The submission page asks for your permission to use clips on official league channels, our website, social media, YouTube and newsletters, including editing them into highlights. Clips you submit may show other people. Before submitting, make sure everyone recognizable is fine appearing in league content, and get a parent's or guardian's permission for any minor. Uploaded something by mistake, or want a clip taken down? Email team@iplayapl.com or reply to your submission receipt. We remove it from our storage and from future content within 30 days, and take down already-published posts where we control them.
6. Who we share your information with
Who sees my address? Your mailing address is seen by us, the CRM, Scoreholio, Shopify and the shipping carrier for an order. We do not give it to organizers; they get your city and state. Venue addresses on club listings are public. See What is public by design.
We do not sell your personal information, and we do not share it with third parties for their own advertising. We share it with the companies that help us operate, each limited to its role:
- GoHighLevel (HighLevel Inc., also known as LeadConnector): the CRM: our form, chat, automation and email platform. All form submissions, contact records, chat transcripts, membership and order records live here. It sends our email through Mailgun, and from the date of this policy it hosts iplayapl.com behind Cloudflare, which provides security and speed.
- Insomniac AI LLC: the agency that builds and runs our website and the CRM. Its staff have full access to the CRM and website and get an alert when something needs attention, a refund, a clip submission, or a chat visitor asking for a person. It works on our instructions and may not use your information for its own purposes.
- Scoreholio: the membership and tournament platform. Scoreholio is an independent company; when you create an account there you are dealing with Scoreholio under its own terms and privacy policy. We exchange membership and roster data with it to keep the league's records in sync.
- Shopify: our store and checkout provider, which processes payments and sends its own order confirmations and shipping notices.
- Google: Google Workspace for our team@iplayapl.com mailbox; Google Drive for clip storage (a private folder maintained for us by Insomniac AI); Google Fonts; and YouTube for video.
- Meta Platforms: GoHighLevel's embed loads a Meta (Facebook) script on our pages, so Meta receives your IP address and browser details when it loads. We have not configured a Meta pixel on our forms or pages and do not use Meta advertising tools on this site.
- OpenFreeMap / OpenStreetMap and unpkg.com: map tiles and map software.
- Shipping carriers: name, address and phone for delivering orders.
- Organizers. When you ask to join or start a league, league staff may pass your name, contact details and city to the volunteer organizer of the league nearest you so they can invite you. Organizers are independent and are asked to use that information only to follow up about league play.
- PD Games LLC. The league and PD Games LLC (the maker of Popdarts) are separate companies under common ownership. We do not hand your contact records to PD Games for its own marketing. Purchases you make at popdartsgame.com are covered by PD Games' own privacy policy.
We will also share information when: the law requires it; we need to protect the safety or rights of players, organizers, staff or the public; or the league is sold or reorganized. In that last case, this policy keeps applying to your information.
7. Your rights and how to ask
Wherever you live, you can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct it;
- delete it (see How long we keep information for what we must keep);
- stop or limit certain uses, including all promotional email;
- give it to you in a portable format;
- withdraw consent you gave earlier (this does not undo what was already done).
How to ask. Email team@iplayapl.com from the email address you used with us, with "Privacy" in the subject line. We will confirm you control that address before we act, and we will not treat you differently for making a request. We respond within 30 days. If we decline a request, reply to our response and ask us to reconsider. An authorized agent may submit a request on your behalf with your written permission.
8. US state privacy rights
We are a small league and may not currently be covered by state consumer-privacy laws such as California's, but we extend these choices to everyone. Depending on where you live, state law may give you the right to know what personal information we have about you, get a copy, correct it, delete it, and opt out of the sale of personal information or its sharing for targeted advertising. We do not sell personal information or share it for targeted advertising, so there is nothing to opt out of on that front.
In the past 12 months we collected the categories described in What we collect and Cookies and tracking, from you, Scoreholio and Shopify, and disclosed them to the providers in Who we share your information with for the purposes in How we use your information.

9. How long we keep information, and how to have it deleted
- Members, organizers and customers: while you are a member, organizer or customer, and afterwards for as long as we need the record for league history, disputes, tax and accounting, or legal requirements. When Scoreholio removes a membership, we mark the record as removed rather than deleting it, so league history stays intact. Unless you ask us to delete it.
- Leads and inquiries (contact, start-a-league and sponsor forms, chat): while we follow up, and for a reasonable period afterwards.
- Chat transcripts and email open/click data: kept with your contact record and deleted with it.
- International applications: five years from submission, per the International Privacy Notice.
- Clips: for as long as they are useful for league content, unless you ask us to remove them.
- Rankings and results: permanent league records.
Email team@iplayapl.com any time to ask us to delete your personal information. We will remove it from the CRM, our website records, clip storage, and copies held by our agency for system maintenance within 30 days. We keep records the law requires (such as order and tax records) and published league results. Copies may persist in routine site backups for up to 30 days after deletion; those are not used for anything else.
Your Scoreholio account and your Shopify order history are held by those companies. Ask them directly, and we will point you to the right place. 10. Children and school leagues
Our website, store, chat and emails are written for adults. They are intended for people 18 and older, and for players 13 and older who take part in a sanctioned league with a parent's or guardian's permission. We do not knowingly collect personal information from children under 13, and we ask organizers not to register players under 13 on Scoreholio for league play. Our website does not ask for or verify age.
Some sanctioned leagues are run by schools or youth programs. Scoreholio's own privacy policy says its services are for people 13 and older. When a school or organizer registers players on Scoreholio, we receive their membership record like any other member's: name, school email, tier, club, state, and address if Scoreholio has it. Their results appear in public rankings like everyone else's.
If you are a parent, guardian or school official, email team@iplayapl.com and we will: exclude the player from all promotional email; stop emailing the player altogether if you prefer; and delete the record on request. Because our records mirror Scoreholio's roster, a deleted record will come back unless the membership is also removed on Scoreholio. We will tell you how, or you can ask us to keep the record blocked instead.
If you believe we have collected information from a child under 13, tell us and we will delete it promptly. Please do not submit clips showing minors without their parent's or guardian's permission.
11. International applicants and visitors outside the United States
We are a US league. Everything in this policy is stored and processed in the United States by us and the providers in Who we share your information with. If you are outside the United States, your information is transferred here, where privacy laws may differ from your own. For applicants in the EEA, the UK or Switzerland, we transfer your information on the basis of the explicit consent you give on the application form and, where relevant, because the transfer is necessary to evaluate and carry out the arrangement you applied for. Our providers in the United States process it only to provide their services to us.
If you apply through our international organizer or distribution-partner page, the APL International Organizer & Distribution Partner Privacy Notice linked from that form controls that application. It says exactly what that form collects, why, how long we keep it (five years), and how to withdraw consent. Where it differs from this policy, the notice wins for that form.
If you are in the EEA, the UK or Switzerland, you can ask us to: give you a copy of your information; correct or delete it; stop or limit certain uses; hand it over in a portable format; or withdraw consent (this does not undo what was already done). 12. Cookies and tracking
Here is what runs in your browser when you visit iplayapl.com, and who receives data as a result. We do not run web analytics (such as Google Analytics) or advertising pixels of our own on any page. If we ever add analytics, visitors in the EEA, the UK and Switzerland will see a consent banner before it runs, and we will update this section.
- Chat widget and forms (every page). These are provided by GoHighLevel. They save an ID in your browser so GoHighLevel can tell it is the same browser coming back and which page you came from, note when a form is shown, estimate your location from your IP address, and run a Cloudflare bot check. The embed also loads a Meta (Facebook) script library; Meta receives your IP address and browser details when it loads. We have not configured a Meta pixel on our forms or pages and do not use Meta advertising tools on this site.
- Shopify Buy Button (store page only). Shopify sets its own cookies on our domain (a persistent visitor ID and a session ID) and sends page-view analytics to Shopify. Shopify's cookie policy is at shopify.com/legal/cookies.
- Club map (home and Find a League). Map software loads from unpkg.com and map tiles from OpenFreeMap (with OpenStreetMap as a fallback). Those hosts receive your IP address and the map area you are viewing.
- Video. YouTube embeds use YouTube's privacy-enhanced mode and load the player only when you press play, but thumbnail images load from YouTube on page view, so Google receives your IP address and browser type.
- Fonts. Our page fonts load from Google Fonts on every page; the forms also load fonts from bunny.net. Those hosts see your IP address and browser type.
- Hosting. GoHighLevel hosts iplayapl.com behind Cloudflare, which logs IP addresses and browser details for security and speed.
- Email tracking. Our emails contain a tracking image and tracked links. When you open a message or click a link, we record it, along with your IP address and browser type, on your contact record. This applies to every email we send. Unsubscribing from promotional email (see Unsubscribing, email and text choices) stops those messages; service emails carry the same tracking while we send them. If you want none of it, ask us to delete your record (see How long we keep information).
Some browsers can send a "do not track" or Global Privacy Control signal. iplayapl.com does not currently read those signals. Shopify's checkout pages do, as described in Shopify's policies.
13. Automated tools and AI
Two parts of our system are automated. Our website chat is an AI assistant run on GoHighLevel's conversation-AI service, which uses an AI language model to generate replies from our rules and league information. It is not a person; if you ask for one, it creates a request for league staff. Our CRM also sorts contacts automatically, for example, tagging your record by membership tier or by the form you filled out, to decide which emails and follow-ups you get.
We do not make any decision about you that has a legal or similarly significant effect using automated tools alone. Membership, organizer, club-listing, sponsor and international applications are reviewed by people.
14. Information about other people
Some forms ask about other people: a club listing names a venue and its address, an organizer application may describe a school or business, and a clip may show players, spectators and venue staff. If you give us information about someone else, make sure you are allowed to. You have their permission, or the authority to list the venue, and that they know it may be published where this policy says so. For anyone under 18, get a parent's or guardian's permission first.
15. Security
We take reasonable steps to protect your information:
- Only league staff and our agency can log in to the CRM and website.
- Forms are protected by a bot check; our own upload and application forms also use a one-time submission code to block fake submissions.
- Uploaded clips go straight into cloud storage that is not publicly accessible.
- Shopify and Scoreholio handle card and payment details, our site never sees them.
No system is perfectly secure, and we cannot promise that unauthorized access will never happen. If we learn of a breach affecting your information, we will notify you as the law requires.
16. Links to other sites
Our site links to Scoreholio, Shopify checkout, popdartsgame.com, Facebook groups run by organizers, YouTube, and other sites. Those sites have their own privacy practices, which we do not control. Read their policies before sharing information there.
17. This policy and our other terms
This policy is a notice about personal information, not a contract. Other documents cover other things:
- Store purchases are completed on Shopify under the checkout terms shown there.
- Memberships: including payment, renewal and cancellation. Are handled on Scoreholio under Scoreholio's terms.
- International applications are also covered by the APL International Organizer & Distribution Partner Privacy Notice and the acknowledgment on that form.
- Sanctioned play is governed by the APL League Rules.
This policy is governed by the laws of the State of South Carolina, USA. It does not take away any rights you have under the privacy laws where you live.
18. Changes to this policy
When we change how we handle personal information, we will update this page and the date at the top. For a significant change, adding analytics, texting, or a new way of sharing data. We will email members and subscribers or post a notice on the site before it takes effect. Previous versions are available on request.
